Secretary (2-3 mornings per week)
What will you be doing?
Reporting to the Chair/s of Friends of The Royal Marsden, Chelsea you, along with our existing part-time Secretary, will see to the day to day running of the office. Together, you will provide full support, managing diaries, maintaining administrative systems and filing, as well as general secretarial and administrative duties.
You will work closely with volunteers and staff at the hospital which will give you an in-depth understanding of the day to day organisation involved in organising a charity.

About the Friends
For over 85 years, the Friends has been offering support to The Royal Marsden Hospital and in 2019, was proud to be given the Queen's Award for Voluntary Service. We are primarily a volunteer charity with around 200 volunteers who, prior to Covid when services had to be curtailed, gave some 20,000 hours of their time each year to the hospital.
In addition to running the volunteers, the Friends also raises and donates between £200-£250k every year to fund equipment, services, and amenities for the benefit of patients, their carers and staff. Managing the finances is central to good management of the Charity and the role would involve close collaboration with the Treasurer, the Committee, and the Trustees.
The Friends receives no government or external funding and relies solely on volunteers (except for one part-time paid employee who works as secretarial support for the Charity). Everything from running the café, shop, volunteer rotas, buying, resourcing, marketing, communications, PR, Social Media, Database management and hospital liaison is managed solely by volunteers so anyone joining the team really would have the opportunity to make a difference.

Duties for this role would include:
- Manage online diary for the Chairs and Committee, setting up meetings with internal and external stakeholders as directed using Google Calendar
- Provide first point of contact support to volunteer enquiries.
- Collate and distribute all documentation required before and after Committee meetings including minutes.
- Deliver and collect mail to and from the post room.
- Maintain and update the Friends’ database. Participate in online training where necessary.
- Forward copies of all invoices and financial documents as required by Bookkeeper/Treasurer
- Organise and maintain weekly volunteer rota as required using Google Calendar and keep Chair/s updated with any changes to volunteer circumstances eg. illness, retirement, marriage etc.
- Order branded items (mugs, lanyards, keyrings, pin badges, pens etc.) on an ongoing basis.
- Prepare guest lists for events, organise invitations, handle replies and liaise with hosts.
- Help to prepare annual reports as required
- Provide administrative support to volunteers and organise service visits as necessary.
- Ensure all volunteers are e-learning compliant and that café volunteers are up to date with food, health & safety training.
- Keep office and storage areas organised and orderly. Top up stationery as necessary.
- Maintain shared online filing system on hospital mainframe and G-Drive.
What are we looking for?
- A pro-active attitude and efficient approach to work
- A proven ability to manage multiple tasks, people and deadlines
- Good organisational skills with strong attention to detail and accuracy
- Good literacy skills to prepare correspondence and reports and maintain records to a high standard
- The ability and confidence to interact with colleagues, volunteers, members of the Friends, and visitors
- A good telephone manner
- Discretion and ability to maintain absolute confidentiality
- Sensitivity and diplomacy
- A sense of humour
- Excellent MS Outlook, Word, PowerPoint and Excel skills
- A good level of IT literacy with a typing speed of 50+ wpm
Desirable but not essential
- Knowledge of database management is not essential but would be helpful but is not essential as training can be given.
- Some knowledge of Xero, Ticket Tailor, Eventbrite, etc. would be helpful but is not essential as training can be given.
Terms & Conditions
- Hours of work: Two morning with flexibility to do a third if necessary (9am-1pm). You will be employed on a 52 week contract pro-rated.
- Salary; Competitive and dependent on qualifications and experience.
- Holidays: 20 days annual leave pro-rated
- Start date: February/March 2022
